Timerack's Alerts feature enables users at the Partner or Manager level to be notified in the portal when there are certain problems with timecards. 


There are four places in the Client Portal where Alerts can be accessed:

Client Dashboard: Recent pending alerts

Timecard page: Alerts for one employee at a time

Timecard Alerts page: All alerts in a central location

Reports: Historical Data


This article explains how to access and manage alerts.


Client Dashboard

View today's most recent pending alerts

Client Dashboard displays alerts for the current day that have not been marked Clear by a Manager or Partner user.

From the Dashboard, Partner users and Manager users who have the applicable access can add Manager Comments which will be saved on the historical record of the alert. 


To add a comment, type in the text entry space and then click the Save Alerts button.


After the issue has been addressed, the user should clear the alert. To clear an alert, mark the checkbox next to Employee Name and then click the Clear Alerts button.


If manual timecard edits are required, click the Employee Name to go to their timecard.


Timecard page

View alerts for one employee at a time, by day or Pay Period


By Pay Period

1) Select Timecard in the navigation menu at the top and then select Timecard on the left navigation menu. 


2) Find the timecard of the employee and Pay Period for which you want to view alerts.


3) Click the Timecard Alerts icon located above the timecard.


4) Pending alerts will display. Mark the Include Clear Alerts checkbox to view alerts that were previously cleared.


To add a Manager Comment, type in the text entry space and then click the Save Alerts button.


To clear an alert, mark the checkbox next to the Reporting Date and then click the Clear Alerts button.


By day

1) Select Timecard in the navigation menu at the top and then select Timecard on the left navigation menu. 


2) Find the timecard of the employee and date for which you want to view alerts.


3) Alert symbol will appear in red on the timecard next to the Day/Date field for any day(s) with alerts Pending.

 

An alert symbol in blue means that alerts for the specified day have been marked Clear. If the only previous alerts were for missing punches, the alert icon will no longer appear when the missing punches have been corrected.


4) Click the alert symbol


Pending alerts for the specified date will display. Mark the Include Clear Alerts checkbox to view alerts that were previously cleared.


To add a Manager Comment, type in the text entry space and then click the Save Alerts button.


To clear an alert, mark the checkbox next to the Reporting Date and then click the Clear Alerts button.


Timecard Alerts page

Manage all alerts in a central location


1) Select Timecard in the navigation menu at the top and then select Timecard Alerts on the left navigation menu.


2) Use the Search fields, Alert Status, and Alert Type dropdown menus to enter criteria for alerts you want to view. 


Click the Advanced button to display additional search options.


3) Click the Fetch button display search results.


Click the arrows next to any column name to sort the data in that column.


Click an Employee Name to navigate to the employee’s timecard for the specified Reporting Date. 


The timecard will open in Editing mode. Exiting Editing mode on the timecard navigates the user back to the search results on the Timecard Alerts page.



4) To clear an alert(s), mark the checkbox(es) next to Employee ID and then click the Update button located at the bottom right of the page.

 

The Clear button in the search section clears the search criteria only!


Data can be exported or printed using the buttons located in the upper right of the page.


Reports

View historical data

1) Select Reports in the navigation menu at the top and then select Timecard on the left navigation menu.
