It is possible that a punch entered on the clock does not display on the employee's timecard and is instead placed in Unprocessed or Rejected status.


This article explains the Unprocessed and Rejected punch statuses and how users can view Unprocessed and Rejected punches in the client portal. 


Unprocessed

What does it mean when a punch is Unprocessed?

The punch has not yet transmitted from the clock to the portal. 


Why is the punch Unprocessed?

Punches transmit from the clock to the portal each time that the clock is "Polled," which happens automatically at an interval determined by Timerack Settings. A punch in Unprocessed status is waiting for the next Poll, when it will be transmitted to the portal.

Rejected

What does it mean when a punch is Rejected?

The punch transmitted from the clock to the portal but was not added to the employee's timecard.  


Why does a punch get Rejected?

Punch rejection may happen for the following reasons:

  • Punch overlaps another punch (example: punching In when already punched In)

  • Card Number entered when punching does not match any Card Number in the portal OR the Employee Profile associated with the Card Number entered is in In-active status in the portal.

  • Employee began punching prior to the Payroll Start Date entered on their Profile

  • Employee's timecard already has Manager Approval

How can I view Rejected punches?

There are two places to view Rejected punches in the portal: View Records Log and the Timecard page. The View Records Log feature displays information about all punches.

How can I add Rejected punches to a timecard?

To access the View Records Log:

1) Select Clocks in the navigation menu at the top and then choose View Records Log on the left navigation menu.


2) Use the Select Clock dropdown menu to search for punches from a specific clock.


3) To search for punches for a specific employee, enter the employee's Card Number in the Card No field.


4) Use the Punch Status checkboxes to filter for punches in a specific status. 


5) Click the calendar icon in the From Date and To Date fields to specify a date range to search.


6) Click the Fetch button to generate results.

Results will display in the table.


Rejected punches can also be accessed on the Timecard page in the Timecard section of the portal. The Timecard page displays Rejected punches for one employee at a time. 


Viewing Rejected punches on the Timecard page allows the user to see the Punch Type, which is not visible on the View Records Log in the Clocks section of the portal. 


To access Rejected punches on the Timecard page:

1)  Select Timecard in the navigation menu at the top and then choose Timecard on the left navigation menu. 


2) Use the Search feature to look up the employee or click on the employee's name in the list on the left side. 


3) Use the dropdown menu above the timecard to select the Pay Period for which you want to view Rejected punches.


4) Click Rejected Punches above the timecard.


5) A pop-up window will display Rejected punches that occurred during the selected Pay Period.
