If a client portal is integrated with an ATS, profiles for new employees are automatically created when data are received by Timerack. However, there are some cases in which the new employee record must be reviewed and then "accepted" into the portal by a Manager or Partner user.

If there is a problem with any incoming employee records, the View Assignments button on the portal Dashboard will display a notification bubble. The View Assignments button is a shortcut to the Assignments page, located in the Timecard section of the portal.

Error Type: Card No. displays "-1"

Error Type: Duplicate Card Number

Error Type: Card No. displays "-1"

Cause: No employee PIN has been transmitted to Timerack via the integration.

Fix: Enter the Employee PIN in your ATS and then wait for the next update from the integration, or create a number and enter it in the Card No. fieldIf your ATS uses a portion of the employee's SSN for Card No., this error will occur if no SSN exists for the employee.


Error Type: Duplicate Card Number

Cause: Employee PIN is the same as another employee in the portal.

Fix: Modify the PIN in your ATS and then wait for the next update from the integration, or modify the Card No. field. 


Error Type: Multiple Policies

Cause: Multiple policies exist in the portal and Timerack does not know which one is applicable to the employee.

Fix: Use the dropdown arrow to select the applicable policy.


Final Step

Select the records that you want to accept into Timerack by marking the checkbox(es) in the first column and then scroll to the bottom of the page and click the Accept button.
