If a client portal is integrated with a staffing software, profiles for new employees are automatically created when the data is transmitted to Timerack. However, there are some cases in which the new employee record must be reviewed and then "accepted" into the portal by a Manager or Partner user.

If there is a problem with any incoming employee records, the View Assignments button on the portal Dashboard will display a red notification bubble. The View Assignments button is a shortcut to the Assignments page, located in the Timecard section of the portal.

This article explains common errors that occur with data from integrated Assignments and how to resolve them.


Error Type: Card Number -1

Cause: No SSN has been transmitted to Timerack via the integration.

Fix: Verify that SSN has been entered in your staffing software. If none is available to enter, create a number to use as the employee’s Card Number and enter it in the Card No field.


Error Type: Duplicate Card Number

Cause: Card Number is the same as another employee in this portal.

Fix: Modify the Card Number to include the last 5 or 6 digits of the employee’s SSN, reduce the number to 3 digits, or create a number and enter it in the Card No field. 


Error Type: Multiple Policies

Cause: Multiple policies exist in the portal and Timerack does not know which one is applicable to this employee.

Fix: Use the dropdown arrow in any field(s) outlined in red to select the applicable policy.


Final Step

Select the employee(s) to accept into Timerack by marking the checkbox in the first column. Scroll to the bottom of the page and click the Accept button.
